CRM basics: daily operating principles
CRM basics are less about menus than about team habit. Software creates value when data is clean, every deal has an owner, and no open opportunity sits without a next step.
Clean data from day one
Consistent customer names, a clear source and valid phone numbers are the base of later reports. Importing a dirty spreadsheet makes the CRM untrusted in week one. Less data that is right beats more data that is vague.
Keep sales stages short and real
A ten-stage pipeline nobody understands will fail. Three to seven stages that match actual work is enough: lead, first contact, discovery, proposal, negotiation, won.
Every deal needs an owner
Without an owner, follow-up is orphaned. CRM basics say responsibility is named, and managers only step in on stalled deals.
No opportunity without a next step
If a call ends without a next activity, the system becomes a notebook again. Simple rule: before you leave a customer record, log the next date and type of work.
Run the sales meeting on the CRM
Replace verbal status with the live pipeline. Team basics say the system is the source of truth — not a separate slide.
